How to Use AI Tools for Everyday Tasks: A Practical Guide

AI assistants can draft an email, summarise a long document or explain a confusing topic in seconds. They can also get things confidently wrong. This guide shows you how to get the benefits while avoiding the common mistakes.

What AI assistants do well

  • First drafts. Emails, outlines, product descriptions and social posts, which you then edit in your own voice.
  • Summaries. Turning a long article, meeting transcript or report into the key points.
  • Explaining things. Breaking down a technical idea at the level you ask for, from beginner to expert.
  • Brainstorming. Names, ideas, angles and alternatives when you are stuck.
  • Rewriting. Making text shorter, clearer, friendlier or more formal.
  • Help with code and spreadsheets. Formulas, small scripts and explanations of errors.

Where they go wrong

  • Confident mistakes. An assistant can state something false in a calm, convincing tone.
  • Invented sources. Links, quotes and references are sometimes made up. Always open them yourself.
  • Out-of-date information. Unless the tool is connected to live search, it may not know recent events, prices or product versions.
  • Exact numbers. Maths, counting and data tables need checking, especially when the result matters.
  • Hidden bias. Answers can reflect the biases in the material the system learned from.

How to write a better prompt

Vague questions get vague answers. A good prompt usually covers four things:

  1. Goal: what you want to end up with.
  2. Context: who it is for and any background that matters.
  3. Format: bullet list, short email, table, three options, and so on.
  4. Limits: length, tone, things to include or avoid.
Before and after

Weak: “Write an email about the delay.”

Better: “Write a short, polite email to a customer whose order is three days late. Apologise once, explain that the supplier was delayed, give the new delivery date of Friday, and offer a 10% discount on their next order. Keep it under 120 words.”

If the first answer is not right, do not start over. Reply with what to change: “Make it warmer,” “Shorten it by half,” or “Add a step about returns.” Improving a draft is usually faster than writing a perfect prompt.

Five everyday uses that save time

  1. Summarise before you read. Paste an article and ask for the five main points, then decide if it deserves your time.
  2. Prepare for a meeting. Ask for likely questions and a short agenda based on your notes.
  3. Plan your week. Give it your tasks and deadlines and ask for a realistic schedule.
  4. Learn something new. Ask it to explain a topic simply, then quiz you on it.
  5. Polish your writing. Ask it to fix grammar and tighten sentences without changing your meaning.

Keep your private information private

  • Do not paste passwords, bank details, ID numbers or private health information.
  • Check your work or school rules before sharing confidential documents with any AI tool.
  • Look in the tool’s settings to see how your conversations are stored and whether they can be used to improve the service.
  • When in doubt, remove names and details first, then ask your question in general terms.

Always check the output

Treat AI as a fast, helpful assistant, not an authority. Before you rely on an answer:

  • Verify important facts, dates and numbers with a trusted source.
  • Open any links or citations it gives you to confirm they exist and say what it claims.
  • Read everything before you send or publish it. You are responsible for the final result.
